How to Track and Troubleshoot Trial and Membership Performance Metrics in SPARK MINDS

SPARK MINDS provides a variety of reports to help you track key metrics such as trial conversions, lead-to-member transitions, membership cancellations, and more. You can also resolve issues related to unexpected data in reports by using filtering and profile adjustments. Follow the guide below for details on available reports and troubleshooting tips.

Key Reports for Tracking Performance

1. Leads per Month and Trial Conversions

To track leads and trial conversions:

  • Use the Members Conversion Report under Reports > Members Conversion.

  • This report highlights the conversion of contacts from Prospects to Trials or from Trials to Active Members within a specified time frame.

  • You can filter the data by contact types or export the results for analysis.

2. Tracking New Prospects and Trial Memberships

  • Access the Lead & Trials Maximizer under Contacts > Lead & Trial Maximizer.

3. Membership Cancellations

To get insights into cancellations:

  • Use the Cancelled Memberships Report under Reports > Cancelled Memberships.

4. Memberships Gained

To view data on new memberships:

  • Use the All Memberships Report, where you can filter by the 'Entered Date' to track when new memberships are added.

Why Are Leads Appearing in 'Current Ranks'?

If leads, who are not active as students, appear in the Current Ranks Report, it’s likely because they have been assigned a rank. To resolve this:

  1. Go to the individual's profile.

  2. Click the Ranks tab.

  3. Either remove the rank from their record or mark the rank as No Longer Earning Ranks.

This process ensures that only relevant members are shown in the report.

Why Do Some Members Appear in Reports One Month but Disappear the Next?

Members appear in the Financial Forecast Report based on their installment due dates. If someone does not appear in a certain month, it could be due to:

  • The absence of a scheduled installment for that month.

  • Enrollment in a time-limited trial (e.g., 2-month or 4-month memberships), making them visible only during active installment months.

  • The completion of all scheduled payments. Once payments are finished, members will no longer appear unless the membership is renewed or extended.

  • Always ensure that you are using the correct filters and report settings to get the most accurate data.

  • Export your reports if you require advanced analysis or historical comparisons.
