How to add students to rosters for single days, multiple days or permanently via the add by roster report.

Now you can add students to rosters for single days. When a student is added for a single day roster, they will automatically get removed from the roster after the class time has past.

This feature is useful for accommodating special circumstances, such as a guest lecture or trial class participation.

To set it up, go to:

  • Left Side Menu Bar > Attendance > Attendance Methods > Add by Roster

Under "Attendance by Roster" page, go to "Add Contact to Roster" field and type in the name of the contact then click it when it pops out.

You have the option to add them to multiple rosters for specific days and have them removed from the roster at a date of your choice or not.

For example, if you have a class that takes place Monday-Friday, you can select what days you would like that student to be added to. Then if you want the system to remove them from the roster afterwards, you can set up a date so they get taken off.

This provides flexibility for course structures, such as multi-day workshops or recurring sessions, without requiring manual roster adjustments.


You can add them to the roster permanently unless they are manually removed. When you select "Never Remove" option, it will still show you on what days that specific roster takes place.

Simply select the days you want to add them to and they will be added indefinitely until you remove them. This option is suitable for long-term programs, such as promotions or ongoing class participation that requires stability.

Steps for Removing Members from a Class Roster

Admins can remove members using the following steps:

  1. Open the CRM system linked with SPARK MINDS.

  2. Navigate to the roster report for the specific class or date.

  3. Locate the student’s entry and remove them from the roster.

    • Alternatively, admins can go to the broader CRM roster management view to make adjustments across multiple rosters.

Best Practices for Roster Promotions and Transitions

  • When promoting students to new levels or programs, utilize the "Never Remove" feature. This allows manual control to move participants to their new class rosters while ensuring they are properly removed from outdated rosters.

  • Regularly review class rosters to ensure alignment with current participation and booking needs.

Note: You can also add or remove students to rosters indefinitely through their profile.

When you add a student to rosters through profile, it will always add them to the roster indefinitely until you remove them. It is important to note that manually adding students to a roster may prevent them from booking their own classes, which could impact workflow if self-booking functionality is desired.

This is why the add by roster is a much better way of adding students manually to rosters because it gives you the option to have them removed. Additionally, admins should review roster participation regularly to ensure accuracy and alignment with scheduling needs.
