Set Up and Use Class Rosters for Attendance

If you want to take attendance where the members are assigned to a specific class, you can use Class Rosters.

Attendance management in SPARK MEMBERSHIP also involves tools like the Attendance Kiosk app and Spark CRM, which provide additional methods for tracking and managing attendance effectively.

To set up a class roster, just go to:

  • Left Side Menu Bar > Attendance > Attendance Setup > Roster Setup

Alternatively, you can access roster setup through the Attendance Kiosk app if enabled in the settings.

Under "Attendance by Roster" page, click "Add New Roster".

Edit and complete all necessary details on the "Class Rosters" page and click "Save" at the bottom.

After creating the class roster, you can view it by going to:

  • Left Side Menu Bar > Attendance > Attendance Methods > Add by Roster

Another option for viewing and managing attendance is the Attendance Kiosk app, which allows instructors to view rosters and take attendance directly from a tablet.

Under "Attendance by Roster" page, go to "Choose Roster" field, search for that roster, and then click it.

After clicking the roster, you will be routed to the page where you can:

  • See the number of students on that roster

  • See the student's attendance on each date

  • See additional details for each students (by clicking the arrow down next to their names)

  • Add a student to the roster via "Add Contact to Roster" field

  • Check in/out a student

  • Set the class size

Note: If you want to track class credits, you don't need to use the roster option at this moment and we're on the process of adding that option. For now, select self check in/membership option.

If students are missing from attendance counts but appear in other reports, check if the rank system filter is enabled and disable it to resolve the issue.

For the Member App: Members can check in by going to the left side menu of the member app and selecting "My Class Schedule". However, they cannot check in after the class, only during the time frame before and during the class. The allowed check-in time depends on your settings in Spark.

Additionally, instructors can use the Spark CRM system for attendance tracking, which provides a more comprehensive view of attendance data.


Permanent Assignments

For permanent roster assignments, use the Mass Assignment feature:

  1. Navigate to the Contacts section and select the student(s).

  2. Use the "Assign Rosters" option to choose the target roster.

  3. Apply the changes to save the permanent assignment.


Removing Students from Rosters

Admins can remove students from class rosters using the CRM system. There are two methods:

  1. Direct Adjustment:

    • Go to Attendance > Add by Roster.

    • Select the roster and remove the student by clicking "Remove from Roster."

  2. Bulk Removal:

    • Navigate to Contacts > View Members.

    • Filter by the specific roster and select the students to remove.

    • Use the mass action tool to remove them from the roster.


Single-Day Assignments

To enroll a student for a single day, use the Add by Roster method. This allows you to add the student to a specific class roster for the required date without creating an ongoing enrollment. This method is ideal for temporary assignments.


Bulk Actions for Roster Management

SPARK MEMBERSHIP supports bulk actions for adding or removing students from rosters. While you cannot add students to multiple rosters simultaneously, you can:

  • Use the "Assign to Rosters" option to add students to one roster at a time.

  • Use the "Remove from Roster" option for bulk removal.


Best Practices

  • Single-Day vs. Permanent Assignments: Adding a student for one day does not remove them from their normal roster. Use this feature for temporary needs.

  • Self-Booking vs. Manual Assignment: If students need to book their own classes, avoid manually adding them to rosters. For manual check-ins, use the "never remove" option and manage promotions manually.
