How to Manage Class Schedules and Time Slots on SPARK MINDS Calendars

Written by Partner Training

Effectively managing class schedules on SPARK MEMBERSHIP calendars is crucial for maintaining an organized booking system. This article provides step-by-step instructions for updating, adding, and removing classes and time slots, as well as addressing platform-specific challenges.

Overview of Class Scheduling in SPARK MEMBERSHIP

The SPARK MEMBERSHIP Calendar is designed for flexibility and requires manual adjustments to maintain up-to-date schedules. This includes creating, modifying, or removing class time slots as needed. Note that updates to class schedules on the roster are not automatically synchronized with the Spark Calendar. Additionally, the SPARK MEMBERSHIP system clearly separates class schedules from individual appointment management. Classes are group activities attended by multiple members, whereas appointments are reserved for one-on-one sessions. This intentional design ensures clarity in workflow, with class schedules managed on rosters and appointments reflected in the calendar.

Adding and Updating Class Time Slots

Follow these steps to add or change time slots for specific classes:

  1. Access the Calendar: Open the relevant SPARK MEMBERSHIP calendar for the class group (e.g., Teens or Beginners).

  2. Modify or Add Time Slots:

    • Locate the relevant section for time slots.

    • Update existing times or add new slots as appropriate.

    • Once completed, ensure you save or publish changes so they reflect correctly on booking pages.

  3. Manual Updates: For changes related to a pre-existing roster, manually add or adjust slots on the SPARK Calendar. Adjustments made to the roster elsewhere do not automatically sync with the calendar.

  4. Using Event Slots: As an alternative to manual updates, utilize event slots to indicate reserved times for class activities.

    • Select "event" instead of "available appointment" in the calendar interface.

    • Event slots ensure staff availability is blocked for class times without displaying them to clients directly.

Removing Classes from Calendars

To remove a specific class, follow these steps:

  1. Open the Relevant Calendar: Navigate to the calendar where the class is scheduled.

  2. Locate the Class: Search for the class you want to remove (e.g., a recurring class like 'Little Ninjas').

  3. Delete Future Entries: Open the calendar, select the relevant week, click on the unwanted slot, click the delete button to reveal further options, and choose Delete Future to remove all future occurrences. This method ensures efficient management of recurring classes.
