Managing Family Accounts and Memberships in SPARK MINDS
Managing family accounts and memberships in SPARK MINDS involves understanding how to connect profiles, manage memberships, handle payments, and resolve common issues. This guide provides a comprehensive overview to help you effectively manage family accounts.
Overview of Family Memberships
Family memberships allow one main account holder to manage and pay for all connected family members. This is different from separate memberships, where each member is billed individually. With a family membership, all profiles are linked under one account, simplifying management and payment processes.
Connecting and Managing Family Profiles
Adding Family Members to a Main Account
To connect family members without creating additional memberships:
Choose one family member as the main account holder.
In their profile, select the 'connect family members' option.
Add other family members to this main account.
Ensure all family members share one email address in their profiles for easy access and profile switching.
Quickly Adding Multiple Children
Use the profile duplication feature to add multiple children without re-entering shared details like emergency contacts:
Open an existing child’s profile.
Go to the Quick Actions tab and select Duplicate.
Edit the duplicated profile with the next child’s name and unique details.
Ensuring All Family Members Appear in the App
If not all family members appear in the app’s dropdown menu, have them log out and log back in. This refreshes the list and displays all connected profiles.
Payment Methods and Financial Transactions
Shared Payment Methods
Connected family profiles can share one payment method. After creating separate profiles for each child, link them to share the same card on file.
Converting Family Memberships to Individual Memberships
To separate a family membership into individual memberships while keeping shared payment methods:
Cancel the existing family membership for each profile.
Create individual memberships for each person.
Link the profiles as contacts to use the same credit card for payments.
Resolving Common Issues
Visibility of Family Members in Memberships
In SPARK MINDS, connected memberships are only counted as “new” in the month the original membership was started. Additional members won’t appear as new in subsequent months.
Access for Active Students
Former family members do not need to be disconnected for current students to access the app. Active students can log in using their own email and password.
Special Scenarios
Step-Parent Access
To give a step-parent access to a stepchild’s information without accessing another child’s data:
Place the stepchild on a separate membership.
Use the step-parent’s email address for the stepchild’s profile.
Avoid connecting the profiles as family contacts.
Ensuring All Names Appear on Membership Agreements
To include all family members’ names on a shared membership agreement:
Edit the membership template to include merge tags for associated members.
Update existing memberships by sending them to be re-signed after editing the template.
Separating Students from a Family Account
To separate students from a family account:
Edit the main membership and uncheck the student to be removed.
On the secondary profile, deactivate the linked membership.
By following these guidelines, you can efficiently manage family accounts and memberships in SPARK MINDS, ensuring seamless access and streamlined payment processes for all family members.
