Managing and Troubleshooting SMS Reminders and Confirmations in SPARK MEMBERSHIP

SMS reminders and confirmations are essential tools in SPARK MEMBERSHIP for keeping appointments organized and ensuring effective communication. However, users may encounter issues such as incorrect information, unexpected messages, or difficulties in stopping reminders. This guide provides solutions to common problems and tips for managing SMS notifications effectively.

Common Issues and Their Causes

  1. Incorrect Location Address in SMS Reminders: Automated SMS reminders pull location details from calendar settings using merge tags. Mixing hard-coded addresses with merge tags in the same template can result in incorrect location information being sent.

  2. SMS Reminders Sending After Appointment Deletion: Same-day SMS reminders may still be sent if they are queued in the system, even after an appointment is deleted.

  3. Unexpected Appointment Confirmation SMS Messages: These messages may be triggered by the calendar’s built-in notifications rather than automations.

  4. Texts Sending Despite Automation Being Turned Off: SMS notifications can still be sent if they are configured directly in the calendar’s Appointment Types settings, independent of automation status.

Step-by-Step Solutions

1. Fixing Incorrect Location Addresses

To ensure SMS reminders display the correct location:

  • Navigate to Calendar > Calendar Settings > Appointment Types.

  • Edit the affected appointment type.

  • Standardize the reminder template by using either the correct location-specific merge tag or a consistent hard-coded address, but not both.

  • Save changes and repeat for other calendars as needed.

2. Stopping Same-Day SMS Reminders After Deleting Appointments

To cancel a queued SMS reminder:

  • Open the student’s profile.

  • Go to the SMS Messages tab.

  • Look for a pending reminder and, if available, click the red-text option to cancel it.

3. Disabling Appointment Confirmation SMS Messages

To stop confirmation texts sent by the calendar:

  • Go to Calendar > Calendar Settings > Appointment Types.

  • Edit the relevant appointment type.

  • Remove the SMS message from the confirmation/notification field.

  • Save changes.

4. Preventing Texts from Sending After Turning Off Automations

To ensure texts are not sent by calendar settings:

  • Review the Appointment Types settings in the calendar.

  • Disable any SMS notifications configured directly in these settings.

Tips for Preventing Future Issues

  • Regularly review and standardize SMS templates across all calendars.

  • Clearly distinguish between calendar-based notifications and automation-based notifications.

  • Test changes to SMS settings to ensure they work as intended.
