Customizing and Troubleshooting Email Templates for Point-of-Sale Invoices and Receipts in SPARK MEMBERSHIP

Managing email templates for point-of-sale (POS) invoices and receipts in SPARK MEMBERSHIP is essential for ensuring clear communication with students and clients. This guide provides step-by-step instructions for customizing email templates, troubleshooting delivery issues, and understanding the differences between receipt and unpaid invoice emails.

Overview of Email Settings in SPARK MEMBERSHIP

SPARK MEMBERSHIP allows users to customize email templates for POS invoices and receipts. These templates can be accessed and edited in the Point of Sale Settings > Settings section. Customizing these templates ensures that your emails align with your business branding and communication style.

Editing Email Templates

1. Customizing the Default Subject for Invoice Emails

To change the default subject line for invoice emails:

  • Navigate to Point of Sale Settings > Settings.

  • Locate the "Send invoice link" email template.

  • Edit the subject line to your preferred text. This will be used as the default subject for all invoice emails, eliminating the need for manual changes each time.

2. Editing the Receipt Email Template

To customize the receipt email sent after a POS payment:

  • Go to Point of Sale Settings > Settings.

  • Scroll to the "Send Receipt" email template.

  • Edit the subject and body content as needed. If the field is blank, the system uses a backend default message. You can paste and modify the default text provided in the system.

3. Understanding Template Differences

  • Receipt Emails: These are sent after a POS payment is completed. To edit, use the "Send Receipt" template.

  • Unpaid Invoice Emails: These are sent for pending payments. To edit, use the "Send invoice link" template. Changes made to one template do not affect the other.

Troubleshooting Email Delivery Issues

1. Emails Not Being Received

If invoice emails are not being delivered:

  • Ensure you are not using a consumer Gmail address, as these are often rejected or marked as spam.

  • Set up a custom domain for your business email (e.g., you@[yourdomain].com).

  • Authenticate your domain by adding the provided DNS records. This ensures reliable email delivery.

2. Missing Invoice Links in Emails

If the invoice or receipt email does not include a link to view the invoice:

  • Open Point of Sale Settings > Settings.

  • In the "Send Receipt" email template, use the "Merge tags" dropdown to insert the merge tag for the invoice URL.

  • Save the template and resend the email. The link will now appear in the email.

Advanced Settings

Overriding Default Messages

To override the default "Thank you for your payment" message:

  • Create or edit the receipt email template in Point of Sale Settings > Settings.

  • Your custom subject and body will replace the backend default message.

By following these steps, you can effectively manage and troubleshoot email templates in SPARK MEMBERSHIP, ensuring professional and reliable communication with your clients.
