How to Clean Up and Manage Connected or Merged Contacts in SPARK MEMBERSHIP

Managing connected or merged contacts in SPARK MEMBERSHIP involves separating profiles, disconnecting relationships, and ensuring memberships or appointments are correctly assigned. Below are step-by-step instructions for common scenarios.

Disconnecting and Removing Contacts

Separating Contacts from a Master Membership

To separate multiple contacts accidentally connected to a single master membership:

  1. Open the master membership and uncheck the checkboxes next to the names of the extra contacts. This action detaches them from the connected membership. Ignore any warnings about editing the master membership in this case.

  2. For each secondary contact, open their profile, edit their connected membership, toggle the “Active” switch off, and save. This removes the connected state for those contacts.

  3. Create new, individual memberships for each separated contact.

  4. If applicable, record payments on the new memberships (e.g., mark them as paid if they already paid individually).

Removing Connections Between Contacts

To disconnect two contacts (e.g., siblings):

  1. Open each contact’s profile.

  2. Navigate to the relationships or connections section.

  3. Remove the link between the profiles and save your changes.

Handling Cards After Disconnecting Contacts

When a connection between contacts is removed, any card associated with the profiles will remain only on the profile where it was originally added. For example, if the card belonged to a contact who is no longer active, the active contact will no longer have access to that card.

Profile Merging for Duplicates

Separating Combined Profiles

If two individuals are combined under one profile:

  1. Create a new profile for the second individual. Note that appearing on a signed digital agreement does not automatically create a profile.

  2. Request that one of the existing memberships on the original profile be moved to the newly created profile.

Preventing Appointment Merging

To ensure appointments are not merged into one contact:

  1. Create a separate profile for each individual.

  2. Manually schedule each appointment under the appropriate profile.

  3. Delete any duplicate appointments that were created under the original profile.
