Managing payments and memberships in Spark Membership involves understanding how to handle past-due payments, resume automatic charges, manage scheduled payments for former students, and update credit card information without triggering immediate charges.

Below are detailed steps and guidelines for each scenario:

1. Resuming Collection of Past-Due Payments

If a student’s status has changed to "former student" and you need to resume collecting a past-due payment:

  1. Navigate to the student’s profile.

  2. Change their contact type to "inactive-still paying."

  3. Scroll to the bottom of the page and click on "view inactive memberships."

  4. Edit the membership and toggle the active status back on.

Once reactivated, the membership will display the amount owed under the payment amount. Spark will automatically resume charging the card on file until the amount owed is collected or it hits the retry limit.

2. Handling Scheduled Payments for Former Students

If a student has a scheduled payment (e.g., a cancellation fee) and you mark them as "former" before the payment processes, the scheduled payment may not run. To ensure the payment processes:

  • Wait until the scheduled payment has been successfully processed.

  • Then, change the student’s status to "former."

This ensures that the payment is not disrupted by the status change.

3. Updating Credit Card Information Without Immediate Charges

To update a member’s card on file without triggering an immediate charge and ensure future payments run automatically:

  1. Place the member on hold.

  2. Update the card on file.

  3. Set the next installment’s due date to a future date. This prevents the account from being marked as past due and avoids immediate recollection of the balance.

  4. Reactivate the member.

After completing these steps, remaining installments will be collected via AutoCharge on the updated card.
