πŸ”₯ Week 4 Updates πŸ”₯

Exclude Contacts on Vacation Option on Email Campaigns

With this new checkbox you will be able to easily exclude contacts that are on vacation from being included in your email campaign 'To Send' list. You will be able to find this new checkbox by creating a new email campaign and navigating to 'Step 4' of the process where you will find the option as shown in the image below.

New Cancelled Class Report

This new report will allow you to view the contacts that removed themselves from a class via the member app including: the date of the class, the date & time as to when the action was performed, as well as whether the contact removed themselves from a roster they are assigned to for multiple days/indefinitely or if they only removed themselves from the roster for a singular day. If a contact removes themselves from a class for a single day, then the 'Single Day Cancellation' column will display the value 'Yes'; If a contact removes themselves from a roster permanently or in other words for all days, then the column will display the value 'No' and it will not add a class date on the log. Additionally, if a contact removes themself from a class they booked for a specific day, the Single Day Class column will also display the value 'No'. This report can be helpful in seeing how close to the class start times your contacts are removing themselves from a roster. You will be able to find this report by navigating to your left side menu, Attendance>Report Cancelled Class.

Bug Fixes/Adjustments:

  • Fixed an issue with the Virtual Class reminders not being sent out automatically 15 minutes prior to the class start time as intended.

  • Fixed an issue with the 'Today's Check Ins' tool on the self checkin/roster page not working as intended.

  • Fixed an issue with the Financial Forecast report not including contacts that are on hold with a set remove date and future next installment date.

  • Fixed an issue on the 'Actions' dropdown on the Forms/Surveys page not displaying the full list of options for the bottom form.

  • Fixed an issue with the Daily Reconcile report not allowing staff to view 4 days in the past after evening hours.

  • Fixed an issue with the sorting options on mass rank promotion pages not working properly.

  • Fixed an issue with on hold students appearing on the Expected Income dashboard stat even when they have a next installment date for a date a month(s) ahead.

  • Fixed an issue with the image border option not working on emails. Please note that to change the border thickness, you will need to click on the advanced tab to enter in your custom size.

  • Fixed an issue with Vimeo videos not able to be used as video placeholders.

  • Fixed an issue with the self check in page settings not remaining saved after closing the tab and reopening it.

  • Added the ability to sort by expiration dates on the Expired Memberships report and Expired Memberships tab on the Lead & Trial Maximizer.

  • Added YouTube and Vimeo validation on all pages where those links are accepted.

  • Added a merge tag on the rank promotion roster mass email option to add in the promotion name on the email body.

  • Adjusted the 'Show only my tasks' checkbox for the tasks dashboard widget selection to be saved in the device's cache.

  • Adjusted the Today's Attendance pop up to only show the amount of classes and days in rank for contacts on the last rank in a rank system.

  • Adjusted the Merit / Character stripes to no longer appear on the Eligibly columns on the profile, rank promotion rosters, or Current Stripes report.

New Payment Method filter on the Financial Transactions report

With this new addition to the report, you will be able to filter your report to only provide you with results only including payments made by a particular payment type such as: Visa, Mastercard, cash, cc terminal, refunds, etc. This can be helpful in cases where you may only want to see the refunds performed for a particular set of dates or perhaps you only want to see all of the cash payments that were received between a specific date frame. You will be able to find this new filter by navigating to your left side menu, Reports>Financial Transactions.

Membership Down Payment Report

We have added a brand new report specifically for membership down payments. Not only will you be able to see how much you have collected on down payments for a specific date frame but you will also be able to associate a student's down payment to a particular membership in cases where the payment was manually collected from the POS at some point after the membership was added and the invoice was not connected to their membership. You will be able to find this report by navigating to your left side menu, Reports>Membership Down Payments.

Bug Fixes/Adjustments:

  • Fixed an issue with coupon codes containing special characters like '+' not working properly.

  • Fixed an issue with tasks disappearing or appearing as duplicated on the dashboard and tasks page.

  • Added new logs on the Staff Activity Logs report for when a staff member deletes an appointment type.

  • Added a Mobile Phone Number column on the Contacts on Vacation report.

  • Added the 'Allow Past Due and expired Memberships to Check In?' settings on self check in and scan barcode attendance taking pages.

Changes on the Tasks Feature

Our team has made a few changes on the Tasks feature in the software which will allow you to have more control over what you and/or your staff are able to view on the dashboard and tasks page. The first change you will notice is the checkbox at the top right of you 'Tasks' widget on your dashboard titled: 'Show only my tasks'. When that checkbox is selected, you will be able to filter the tasks shown to only include the tasks assigned to you in particular. If you leave that checkbox off, then you will be able to view all the tasks that are due today, upcoming, and those that are overdue. Additionally, we have added a new permission on the staff logins page titled: 'Can View All Staff Member's Tasks', when this is enabled, it will allow the staff member to view all the tasks regardless of who it is assigned to. If that toggle is disabled for a staff member however, then they will only be able to view the tasks that are assigned to them and the unassigned ones as well. This toggle will be enabled for all staff by default.

Update to the Credit Card Search report and POS

We have added a new button on the Credit Card Search report titled: 'Search Payment Method on Invoices' which will allow you to view all of the invoices a specific card was used on. This will make it easier to find a particular payment in case you received a chargeback notice and need to find which contact it's in regards to. We have also added an option on the POS that will allow you to save the card used for a payment on the contact's profile after the payment goes through. You will find this checkbox underneath the credit card fields as shown in the second image below.

Bug Fixes/Adjustments:

  • Fixed an issue with backslashes being automatically added before and after quotation marks added on a saved reply message.

  • Fixed an issue with replacing a membership that is currently set as on hold not marking it as inactive on the profile.

  • Fixed an issue with performing mass actions from the Add by Roster page including contacts that are not on the list in the mass email, sms, tag, etc. action.

  • Fixed an issue with multiple contacts being able to book the same appointment slot via the online scheduler.

  • Fixed an issue with the Lead & Trial Maximizer not sorting the trials on the list in any particular order.

  • Fixed an issue with GMT locations where the attendance count was not being reset resulting in automations based on last week's attendance count not adding the correct number of classes taken in the sms message action steps.

  • Adjusted the checkout page's thank you screen buttons to be shown in the color selected on the branding and theme settings for consistency.

  • Added the font Montserrat on all places where you could send an email from in Spark.

  • Added logs on staff time slips that show where a staff member clocked in from whether if it was through the CRM or the Sparktan app.

Sort Option Added on the Lead & Trial Maximizer

With this new addition you will be able to sort your On Trials tab by the 'On Trial' or 'Trial Expiration' fields in ascending or descending order. You will be able to find this new update by navigating to your left side menu, Contacts>Lead & Trial Maximizer, and clicking on the On Trials tab at the top of the page.

Bug Fixes/Adjustments:

  • Fixed an issue with the print option not allowing belt colors to be shown on the pdf/printout.

  • fixed an issue with not being able to change the payment method on an existing membership from CC to Bank Draft.

  • Fixed an issue with tasks not immediately appearing when navigating to the Tasks page.

  • Fixed an issue with the All Contacts report not allowing to use the spacebar on the mass sms pop up box.

  • Added validation for sendgrid links that are added onto email bodies.

  • Added validation for YouTube and Vimeo links on the checkout page mobile app video settings.

  • Sorted the active trials on the dashboard stats pop up to appear in order of membership expiration date.
