When migrating to Spark, recollecting your students' card information is one of the most important steps to keep your business running smoothly. Spark's Credit Card Recollection feature makes this process simple by sending your students a secure email with a link to update their payment information. This works for both Credit Card Payment methods as well as Direct Debit/ACH/EFT, as long as they're set up.
Please note: This feature should only be used after you have transferred your contacts and memberships from your previous software into Spark.
Step 1 - Selecting Your Memberships
From the left sidebar, navigate to Reports > Memberships Reports > All Memberships. Select the student memberships you would like to send a card update email to.
Step 2 - Sending the Email
At the bottom of the page, click Choose Bulk Actions and select Send Credit Card Update Email. Click Go.
Step 3 - Customizing and Sending
Feel free to modify the email to make it sound more personal. Please make sure not to delete the link in the email as this is required for the card update to work. Once you are happy with the email, click Send.
Important: The link in the email is unique to each student and links their profile to their card information. Do not share this link on Facebook or any other social media platform as this could result in card information being linked to the wrong student profile.
Once a student clicks the link and enters their card information, it will be automatically applied to their membership and saved to their profile.
If a student's card declines, they will automatically receive an email with a link to update their card on file.
We recommend letting your students know you have sent the email so they can update their card information as soon as possible.
Frequently Asked Questions
What if a student's membership is on hold? Adding a card will not automatically reactivate a held membership. You will need to manually reactivate it once the card is on file.
Can I send the recollection email to all students at once? Yes! Simply select all memberships in the All Memberships report before clicking Send Credit Card Update Email.
What if a student doesn't receive the email? Ask the student to check their spam folder first. If the email is still not there, you can resend it by repeating the same steps.
Can I customize the email? Yes! You can modify the email text to make it sound more personal. Just make sure not to delete the link as this is required for the card update to work.
Can I share the link on social media? No. The link is unique to each student and must only be sent via email. Sharing it on social media could result in card information being linked to the wrong student profile.
